Looking for a Business Admin apprenticeship?
A Business Administration Apprentice provides crucial office support while gaining on-the-job training, handling tasks like scheduling, data entry, record management, and reception duties. Lasting 12–24 months. While working towards a recognised Level 3 qualification. You will assist the Administration and finance team to provide a high and efficient standard of clerical work to the Home.
You will be required to be smart in appearance at all times, to attend staff meetings and undertake mandatory training required to work in a Care Home. You will be expected to follow the Home’s policies and procedures including those relating to data protection and confidentiality and to complete all duties in a timely manner.
You will gain experience working across different functions within the organisation, supporting both administrative and operational activities
Duties will include:-
· Welcome visitors to the Home in a professional, pleasant, and courteous manner, ensuring all visitors sign the visitors’ book and are directed promptly to the appropriate member of staff.
· Manage incoming telephone calls in line with Home policy, aiming to answer within three rings, while delivering a courteous, efficient, and professional service at all times.
· Support and progressively take responsibility for ensuring all incoming calls, post, and emails are accurately directed and delivered to the appropriate person in a timely manner.
· Operate office equipment including the photocopier, scanner, and printer, ensuring all required documentation is prepared, organised, and readily available for staff use.
· Support the preparation and distribution of daily records, registers, cleaning schedules, and other operational documentation, ensuring these are updated and in place at the start of each month.
· Support and progressively take responsibility for ensuring all paperwork required for monthly medication ordering is prepared and available within required timescales, including assisting with the clerking-in of medication deliveries.
· Prepare, organise, and maintain files as requested by Managers and the Senior Care Team, including records for new Residents and Day Care clients.
· Produce and format notes, letters, posters, reports, and data input accurately and professionally as required.
· Monitor and check that the Day Care Register is completed accurately to support correct attendance records and billing processes.
· Maintain accurate filing systems for client and operational records, ensuring confidentiality, data protection regulations, and GDPR requirements are upheld at all times.
· Record, monitor, and update all new enquiries accurately, including carrying out follow-up and callback communications where required.
· Develop knowledge and understanding of administrative procedures within the care environment, demonstrating a willingness to learn and take on increasing responsibility throughout the apprenticeship.
· Supporting the review and improvement of administrative processes to increase efficiency
· Monitoring data and records to ensure accuracy and identifying any discrepancies
· Prioritising tasks and managing workload effectively to meet deadlines
· Using initiative to resolve routine queries and escalate where appropriate
· Supporting managers with administrative reports, documentation, or business processes
· Contribute to the overall efficiency of the organisation by supporting and improving administrative processes and services

· Undertaking a work-based project or improvement activity as part of the apprenticeship to demonstrate learning and contribute to the business
Apprenticeship Development & Responsibilities
· Work across different areas of the organisation to gain a broad understanding of business operations
· Support the continuous improvement of administrative systems and processes within the organisation
· Identify opportunities to improve efficiency and suggest improvements to working practices
· Take increasing responsibility for administrative tasks as skills and knowledge develop
· Work collaboratively with colleagues across departments, including administration, finance, care, and management teams
· Manage and prioritise a varied workload, demonstrating initiative and effective time management
· Support basic business and financial administration processes where required (e.g. record keeping, invoicing support, data tracking)
· Contribute to achieving team and organisational objectives
The duties above are not exhaustive and the Apprentice Administration Assistant may be asked to carry out other tasks - including helping out in other areas - as necessary to suit the needs of the business.
Working Schedule:
Full time 9-5 – flexibility available – Weekdays Mon – Fri – excluding any mandatory college days
